Glossary

Glossary

Set names and terms that AITEZA spells exactly as written in voice input, transcriptions, answers and translations.

On this page

The glossary holds names and terms that AITEZA should always write exactly as given, for example your company name, product and project names or technical terms. AITEZA uses the glossary

  • for voice input in the chat and transcriptions of audio files, so that names are recognized correctly,
  • in chat answers and therefore also in generated files,
  • for translations of documents.

For each term you can add a short note, such as “company name, never translate” or “in German Bauakte”. The note helps above all with answers and translations.

Always included

AITEZA and your full name from your account are part of the glossary automatically. You do not need to add them.

My terms

On the Glossary page in the Personal area of the settings you add terms that apply only to you, such as clients, projects or colleagues.

Add a term of your own

  1. 1

Open the profile menu, choose Settings and open the Glossary page in the Personal area.

  2. 2

Under Term, enter the name or term exactly as AITEZA should write it.

  3. 3

If needed, add a Note, for example “company name, do not translate”.

  4. 4

Choose Add. AITEZA saves the term right away.

Use the icons next to a term to edit or remove it; AITEZA saves these changes right away too. Under From your organization you see the terms the administrators of your organization have added. You cannot change them.

Organization glossary

Organization admins maintain the terms that apply to every member on the Glossary page in the Organization area of the settings. They are added, edited and removed the same way as your own terms. The page always refers to the organization you are currently working in. Guests of a Relay get the terms of the organization that offers the Relay.

Limits

So that the glossary does not make answers slower or more expensive, it is limited:

  • An organization can add up to 75 terms, each person up to 20 terms of their own.
  • A term can have at most 60 characters, a note at most 100 characters.
  • Each term can appear only once in a list; upper and lower case do not count.

For voice input and transcriptions, AITEZA can pass on at most 100 words from the glossary. Your own terms take precedence over those of the organization. The glossary makes recognizing names more reliable but cannot guarantee it, especially for very short words or words with an unusual pronunciation.

Changes to the organization glossary and to your own terms are recorded in the audit log, with the number of terms only, never their content.
