Search

Find datarooms, files, images, websites, chats and messages from one search field.

On this page

The search finds everything you can open in AITEZA in one place: datarooms, files and their contents, images, websites, your chats and your chat messages. It lists the objects themselves, not an answer, so you can go straight to the file or conversation you are looking for. Files your colleagues uploaded show up as well, as long as you have access to the dataroom they are in.

Opening the Search

  • Click Search at the top of the sidebar, or
  • press Ctrl+K (⌘K on a Mac) anywhere in AITEZA. The same keys close it again.

Type a few words. Results appear while you type.

What Is Searched

What Found by Who can find it
Datarooms Name and description Everyone with access to the dataroom
Files Name and extracted text, and the transcript of audio recordings Everyone with access to the file’s dataroom
Images Name and image description Everyone with access to the image’s dataroom and the images feature
Websites Name, address and crawled text Everyone with access to the website’s dataroom
Chats Title Only you
Messages Text of your questions and the answers Only you

The search only covers the organization you are currently working in. Platform administrators also find datarooms they are not a member of, and their contents; these rank slightly lower. Organization admins only find datarooms they are a member of, like everyone else.

Not yet searched: workflows, prompts, files attached directly to a chat, and images extracted from documents (the document itself is found instead).

Reading the Results

Each result shows:

  • an icon for its type (dataroom, file, image, website, chat or message),
  • its name, where it is (the dataroom path and who uploaded it) and, on the right, when it last changed,
  • for matches in the content, the matching passage with your search words in bold, and the page number for documents.

Audio recordings found by their transcript have a sound wave icon and are labeled Transcript. The passage starts with its time in the recording, for example 4:12–4:51.

The tabs above the list narrow it to one type. Each tab shows how many results of that type were found, for example Files (4).

How Results Are Ordered

The best match comes first:

  1. The name counts most. An exact name ranks above a name that starts with your words, which ranks above a name that only contains them. The words can be in any order, and small typos are tolerated (“quartely” finds “Quarterly Report”).
  2. Then the content. A passage containing all your words ranks above one containing only some. For searches of four characters or more, passages with a similar meaning are found too, even if they use other words.
  3. Several matches add up. A file whose name and content both match ranks above one that matches only one way.
  4. Your context breaks ties. Datarooms you used recently or starred, your own uploads and recent changes rank slightly higher. This only reorders results that match about equally well.

To keep the list readable, at most two messages per chat are shown. Open the chat to see the rest.
