Organization Usage
What your organization's requests to AI models cost, per month, person and group.
On this page
The Usage page in the Organization section of Settings shows what your organization’s requests to AI models cost, per month. It is available to organization admins and to people with the Usage admin right, and always refers to the organization you are currently working in.
Reading the Page
- Use the arrows or the month list to choose a month. You can look back over the current month and the eleven months before it.
- The large figure is the organization’s total cost for the month. Below it you see the number of tokens and requests and the name of the organization.
- In the current month, Forecast to month end estimates the month’s total: the average daily cost so far, multiplied by the days of the month. It appears from the 2nd of the month and only when there are costs.
- Cost per day shows the month’s costs as one bar per day. Point at or tap a bar to see the day’s cost and requests; with the keyboard, move between days with the arrow keys. In the current month a dashed line continues the average daily cost to the end of the month.
- Two tabs break the total down:
- By person: one row per person, Relay or system task, sorted by cost, with Requests, Tokens and Cost.
- By model: one row per model.
- A Total row closes each list. Amounts below one cent are shown as “< €0.01”.
The figures can be a few minutes behind. Costs are shown in euros. Months are counted in UTC.
Rows in the “By person” Tab
| Row | Meaning |
|---|---|
| A person’s name | Requests this person made, for example in chats, datarooms and workflows, and with their LiteLLM keys (see API Keys). |
| A dataroom name marked Relay | Requests of external guests in an external share (Relay). Relays are named after the dataroom they share. |
| Deleted Relay | Requests of a Relay that no longer exists. |
| System · … | Work AITEZA does in the background for your organization, for example processing documents. The name of the task follows the dot, for example “System · Document indexing”. |
| Not assigned | Usage that cannot be assigned to any of the rows above. It is listed so the total adds up. |
Only people and Relays with usage in the selected month are listed. If there was no usage at all, the page says so, for example “No usage in October 2026.”
Exporting the Usage
Select Export CSV to download the usage of the selected month as a CSV file, for example to pass it on to accounting. The file contains one row per person, Relay and system task with requests, tokens and cost.
Every export is recorded in the Audit Log.
Usage of a Group
Organization admins, people with Usage for the whole organization and group admins with Usage can look at the usage of a single group. Choose the group in the Group selector at the top of the page; Whole organization shows the whole organization again. If you can see only one group, there is no selector and the page shows this group right away. The page description then names the group, for example “What the requests of the current members of Sales to AI models cost, per month.”
For a group, the page counts only the people who are members of the group right now:
- Their usage in the whole selected month counts, even if they joined the group later.
- People who have left the group are not included, not even for months in which they were members.
- Relays, system tasks and Not assigned are not included. The By person tab lists only members.
- The total, the forecast, Cost per day and the By model tab are calculated from the members’ usage only. Below the total, the group’s name takes the place of the organization’s name.
- Export CSV downloads the members’ rows. The audit log records the export together with the group.
Because Relays, system tasks and former members are left out, the figures of all groups together do not add up to the organization’s total. A person who belongs to several groups counts in each of them. See Admin Rights and Group Admins.
When No Figures Are Shown
- “Usage is not available for this installation yet.” means that cost tracking is not set up for your installation, or that the figures cannot be read at the moment. If the page usually shows figures, try again in a few minutes.
- If the figures cannot be read while you export, AITEZA says so in a message. Try the export again in a few minutes.
- If the page could not be loaded for another reason, select Try again.
