Personal Settings

Your account, language, theme, default model, document style and usage.

On this page

The Personal section of Settings is available to everyone. This topic describes the pages My account, Preferences and My usage. The Integrations page is described in Integrations. People with the API keys role also see the API keys page, described in API Keys. People with the Relay role see the Relay page with their own Relays and their defaults for new Relays, described in Relay. People with the Cloud storage role see the Cloud storage page, described in Cloud Storage.

My Account

The My account page shows the details of your account and what you can do in the organization you are currently working in.

Name, Email and Password

Your name, email address and password are managed in Keycloak, the sign-in service that AITEZA uses.

Row What you can do
Name Edit in Keycloak opens your account in the sign-in service in a new tab, where you can change your name.
Email Edit in Keycloak opens the same page, where you can change your email address.
Username Shown for reference. It cannot be changed.
Security Open Keycloak opens the security page of the sign-in service in a new tab. Change your password or set up two-factor authentication there.

If a change does not show up in AITEZA right away, sign out and sign in again.

Your Access

Your access describes your situation in the organization you are currently working in:

  • Organization shows the name of the organization. If you belong to several organizations, Switch organization next to it lets you change to another one. See Working in Several Organizations.
  • Groups lists your groups in this organization. Datarooms, workflows and prompts can be shared with a group, and a group can also limit which AI models its members can use.
  • You can translates your roles into plain sentences:
Sentence Comes from
Chat and work in the datarooms shared with you Shown when you have none of the roles below
Create top-level datarooms Dataroom admin role
Share datarooms with external guests (Relay) Relay role
Use web search in chat Web search role
Create personal API keys API keys role, see API Keys
Manage organization name Organization admin role

If something is missing, the page points you to the admins of your organization (“Missing a permission? Contact an admin of …”). They can change your groups and roles on the People page.

Preferences

Changes on the Preferences page are saved right away. A short Saved message confirms each change.

Language

Choose English, Deutsch or Polski. AITEZA switches to the new language immediately.

The language is stored with your account. It is also used for the sign-in pages and for emails AITEZA sends you, for example a link to reset your password. If the change fails, AITEZA shows “The language could not be changed.” Try again a little later.

Change the language

  1. 1

Open the profile menu and select Settings.

  2. 2

    Open Preferences.

  3. 3

    Under Language, choose your language.

Theme

Choose System, Light or Dark. System follows the setting of your operating system.

The theme applies only on this device. It is stored in your browser, so other devices and browsers keep their own setting.

Default Model

New chats start with the model you choose here.

  • Last used (the default): new chats start with the model you last used on this device. If you have not used a model on this device yet, they start with your organization’s default model.
  • Any other entry: new chats always start with this model.
  • Auto: the right model for each message: new chats start with Auto, which picks a suitable model for every message. Offered only when you can use at least two models.

The list shows only the models you are allowed to use in the current organization. The setting is stored with your account and applies on all your devices. You can still choose a different model in every chat.

If your default model is no longer available to you, for example because your organization stopped offering it or you are working in another organization, new chats start as with Last used, and the setting shows Last used again. If platform administrators retire your default model, your setting moves to the model that replaces it.

Document Style

When AITEZA creates a Word, Excel or PowerPoint file for you, it uses the document style of that format: fonts, colors and font size, and in Word documents also the line spacing. The Document style row shows which style applies to you:

  • Organization style: the styles your organization admins set up.
  • Your own style for followed by formats, for example “Your own style for Word and Excel”: you adjusted the style of these formats yourself. All other formats use the organization style.

If your organization sets one style for everyone for some formats, the row names them, for example “For PowerPoint, your organization sets one style for everyone.” If this applies to all three formats, the row says “Your organization sets one style for everyone.” and there is nothing to adjust.

Set up your own document style

  1. 1

In the Document style row, select Customize (or Edit, if you already have your own style for a format).

  2. 2

In the Your document style dialog, select the tab of the format: Word, Excel or PowerPoint.

  3. 3

Choose a base preset and adjust the settings. The preview shows the effect.

  4. 4

Select Save. AITEZA saves the style of the open tab and closes the dialog.

Each tab offers the settings of its format, as on the organization’s Document style page: for example body text, headings, table header and line spacing for Word, or the accent color for PowerPoint. The dialog opens on the first format you may adjust and starts from the style that currently applies to you. Choose fonts from a list that shows each font in its own typeface, or type their name.

  • You save one format at a time. To adjust another format, open the dialog again.
  • If you switch to another tab with unsaved changes, AITEZA asks whether you want to discard them. Cancel closes the dialog without saving.
  • Use organization style appears when you have your own style for the open tab. It removes your own style for this format, and the organization style applies again.
  • For a format where your organization sets one style for everyone, the tab shows a note instead of the settings, for example “Your organization sets one Excel style for everyone. Your Excel files look like this:”, followed by a preview.

Your own style applies only to files created for you. It does not change files that already exist.

Product Tours

Shows how many tours you have finished, for example “3 of 5 tours finished”. Restart all tours resets your progress and takes you to the chat, where the tours start again from the beginning.

This row is shown only on larger screens.

My Usage

The My usage page shows what your requests to AI models cost, per month.

  • Use the arrows or the month list to choose a month. You can look back over the current month and the eleven months before it.
  • The large figure is your total cost for the month. Below it you see the number of tokens and requests and the name of the organization.
  • In the current month, Forecast to month end estimates the month’s total: the average daily cost so far, multiplied by the days of the month. It appears from the 2nd of the month and only when there are costs.
  • Cost per day shows the month’s costs as one bar per day. Point at or tap a bar to see the day’s cost and requests; with the keyboard, move between days with the arrow keys. In the current month a dashed line continues the average daily cost to the end of the month.
  • The table lists each model you used with its Requests, Tokens and Cost, followed by a Total row. Amounts below one cent are shown as “< €0.01”.
  • If part of the total cannot be assigned to a model, a Not assigned row shows it, so the total adds up.
  • Requests made with your LiteLLM keys are included (see API Keys).

Keep in mind:

  • The figures cover only the organization you are currently working in. Switch the organization to see your usage there.
  • The figures can be a few minutes behind. Costs are shown in euros.
  • Months are counted in UTC. Requests made shortly before or after midnight at the turn of a month can therefore appear in the neighboring month.
  • If you made no requests in a month, the page says so, for example “No usage in October 2026.”

If the page says “Usage is not available for this installation yet.”, cost tracking is not set up for your installation, or the usage data cannot be read at the moment. Ask your organization admin if you need the figures.

Cloud Storage

On the Cloud storage page, you connect your own accounts at cloud services. You can then sync datarooms you own with folders from these accounts (see Syncing Cloud Storage). The page is shown to people with the Cloud storage role when your organization has booked the cloud storage add-on.

The page lists the services your organization has set up (see Organization Cloud Storage): Microsoft 365 (OneDrive and SharePoint), Google Drive and Dropbox.

  • Connect takes you to the sign-in page of the service. Sign in with your account there. AITEZA only gets read access and then returns to this page.
  • A connected service shows the email address of your account, how many datarooms use it, for example used by 2 datarooms, and its status: Connected or Sign-in expired. If the sign-in has expired, select Sign in again.
  • Disconnect removes the account after a confirmation. Datarooms synced through this account stop taking over changes. Files already taken over stay in the datarooms.
