Chatting with AITEZA

Start conversations, rename and find them again, dictate messages and answer questions from AITEZA.

On this page

A chat without connected datarooms is meant for general discussions and questions that do not require access to large, specialized knowledge bases. It uses the general knowledge of Large Language Models (LLMs) and offers a flexible, conversational environment.

Chats without Connected Datarooms

Without connected datarooms, a chat is intended for informal conversations and general inquiries. It does not have access to extensive, project-specific knowledge or large datasets. Instead, it uses the general knowledge embedded in the selected LLM, plus any files you attach.

Privacy in Chats

Files and messages in a chat without connected datarooms are visible only to you. Unlike dataroom files, system administrators do not have direct access to these conversations or attached files.

Starting a New Conversation

To keep discussions organized and contextually relevant, it is recommended to start a new conversation for each new topic. This prevents the LLM from referencing previous, unrelated messages.

Start a New Conversation

  1. 1

Click on New Conversation in the top menu.

  2. 2

Begin your discussion on a new topic in the fresh conversation window.

Renaming a Conversation

AITEZA names a new conversation after your first message as soon as you send it. You can give any conversation a custom name to keep your chat list organized and make past conversations easier to find; AITEZA does not change a name you set.

Rename a Conversation

  1. 1

Right-click the conversation in the sidebar, or click the options menu (⋯) next to its name.

  2. 2

Select Rename and enter the new title.

  3. 3

Confirm by pressing Enter or clicking outside the input field.

Conversation History

The History page gives you access to all your past conversations in one place. You can search by keyword to quickly locate a specific chat or scroll through your entire conversation archive.

Open Conversation History

  1. 1

Navigate to the History page from the sidebar or main navigation.

  2. 2

Use the search bar to filter conversations by keyword, or scroll to browse your archive.

  3. 3

Click any conversation to open it and continue where you left off.

Dictating a Message

Instead of typing, you can speak your message. First switch on Voice input under Settings › Preferences. Then click the microphone next to the send button and allow microphone access when your browser asks for it.

  • While the microphone listens, it is highlighted in blue and a ring around it follows your voice. Your words appear in the message field one by one while you speak; after a short pause the last phrase may still be corrected.
  • Click the microphone again when you are done. You can then edit the text and send it as usual.
  • Press Esc to discard the recording; the field returns to what you had typed before.
  • A recording ends automatically after 10 minutes.

The recording is transcribed by the speech-to-text model your organization also uses for audio files in datarooms and is deleted right after transcription. The setting and the microphone only appear if audio transcription is enabled for your installation.

Leaving While an Answer Is Written

AITEZA writes the answer on the server. You can close the browser tab, lose the connection or switch to another device while it is being written: the answer is finished and saved in the conversation.

  • Open the conversation again while the answer is still being written to follow it live from where it currently is.
  • Open it later to read the finished answer.
  • A new conversation appears in your chat list as soon as you send the first message, also in other browsers and on other devices.
  • If an integration is waiting for your approval, or AITEZA has asked you something, the question appears again when you reopen the conversation. Without an answer within 4 minutes, AITEZA continues without it.
  • The stop button, shown in place of the send button while the answer is written, ends the answer and keeps what was written up to that point.

You can send the next message once the current answer is finished or stopped.

The same applies to external guests chatting in a Relay: their answer is finished and saved even if they close the browser, and they can open the conversation again to follow or read it.

Questions from AITEZA While It Answers

AITEZA can pause an answer to ask you something. The question appears in the answer, which continues as soon as you reply.

  • Clarifying questions: If your request can be understood in different ways, AITEZA asks which one you mean, for example which of several matching documents. Click one of the suggested answers or type your own and choose Send. The question and your answer stay visible at this point in the answer, also when you open the conversation later.
  • Web search: If web search is switched off but an answer needs current information from the internet, AITEZA shows: “Model requests a web search for this query. Web search is disabled in this chat.”. Details shows the search. Choose Decline, For this answer only or Enable web search. Enable web search switches web search on in the message input for this and all further messages in this chat. AITEZA only asks if your account may use web search.
  • Web search with datarooms: When datarooms are connected and web search is switched off, AITEZA asks before every single web search or web page it opens, because the query can contain content from your datarooms and goes to an external search service. AITEZA shows the query itself. Choose Decline, Enable web search or This search only. If you decline, AITEZA does not search the web again for this answer and says what it could not check online. Enable web search first points out that from then on queries go to the search service without asking and may contain content from your datarooms and attached files. Once you confirm, web search is switched on in the message input for this and all further messages in this chat. After content from an integration, for example an e-mail, was read in the chat, AITEZA asks before each search again.

Without an answer within 4 minutes, AITEZA continues without it: it states its assumption, or answers without searching the web.

Web Search with Connected Datarooms

You can also switch on web search yourself in the message input while datarooms are connected. AITEZA then shows the same notice: the queries go to an external search service and may contain content from your connected datarooms and attached files. Choose Enable web search to search the web without asking, or Without web search to keep asking before each search. If you connect datarooms to a new chat in which web search is already on, web search is switched off; switch it on again to see the notice.

Web search with datarooms is not available to external Relay guests, in workflows or via API keys.

When to Use Datarooms Instead

For handling large volumes of data, complex documents, or project-specific knowledge, connect datarooms to the chat. A chat without connected datarooms is best suited for quick questions, brainstorming, or general discussions.
