Creating Office files

Creating Office files

Let AITEZA create Word, Excel and PowerPoint files from a prompt, or update an existing file.

On this page

You can ask AITEZA to create complete files from a prompt or update the text in an existing Office file. In both cases, you receive a ready-to-use document for download and further editing.

Supported formats:

Format File Type Typical Use Cases
Word .docx Reports, proposals, meeting notes, concepts
PowerPoint .pptx Presentations, management summaries
Excel .xlsx Calculations, tables, evaluations

Highlights

  • Live preview while the file is being generated (side-by-side on large screens, fullscreen on mobile).
  • One-click download for each generated file.
  • Multiple files in one response, with tab switching in preview.
  • Resizable preview pane on larger screens; your width preference is saved.
  • Add a generated file directly to a dataroom using the new button in the Artifact Viewer (requires write permission).
  • Generated files remain linked to the chat and are still available after reload.
  • Generated documents open as a PDF in the preview, so you see them as they will look when printed. Text view shows the plain text instead.
  • Presentations and reports can contain images from your attachments and datarooms. AITEZA only uses images you may open yourself.

Create a File in Chat

  1. 1

Describe the file you need in chat, for example: “Create a Word document with a short project report for our construction project.”

  2. 2

Watch the live preview while AITEZA generates the file.

  3. 3

Download the file, or click Save to Dataroom in the Artifact Viewer to add it directly to a dataroom for your team.

How Generated Files Look

Generated files use your organization’s document style for their format, or your own style if you set one up. See Document Style in your personal settings and, for organization admins, Document Style.

Each file is built the way its Office application expects, so you can keep working on it there:

  • Word: real Word styles for the title, headings, lists and tables, A4 pages and page numbers. To change the look of the whole document, change its styles in Word.
  • Excel: a styled header row that stays visible while you scroll and has a filter. Numbers, amounts, dates and percentages are stored as real values, and the sheets are set up for printing.
  • PowerPoint: 16:9 slides with a title slide and consistent content slides. Depending on the content, AITEZA uses layouts for key figures, two columns or steps, as well as tables. Slides are numbered. Content that does not fit on one slide continues on the next one, whose title ends with “(cont.)” (for German content “(Forts.)”, for Polish content “(cd.)”).

Formulas in Excel Files

When AITEZA creates an Excel file, it writes totals, sums, ratios and derived columns as real Excel formulas, for example a “Total” row with SUM. When you change values in Excel, the results are recalculated. You can also ask for formulas explicitly, for example: “Create an Excel file with the budgets of our projects, with formulas for the totals.”

Updating a Generated File

AITEZA can keep working on a file it created earlier in the same chat instead of creating a new file each time. Ask for the change in the chat, for example “Add a section with our payment terms” or “Raise the price to 12,000 euros”. AITEZA updates the file and saves the result as a new version of the same file. It creates a separate file only if you ask for a new or an additional document.

AITEZA always writes the complete new file. Earlier versions stay available from the earlier answers:

  • As soon as a file has more than one version, the file card of each answer shows the version that answer produced, for example “Word Document · Version 2”.
  • Opening or downloading the file from an older answer gives you the version of that answer. Below the card, a hint names the latest version, for example “The latest is version 3.”, followed by the link Open latest.
  • If the Artifact Viewer shows an older version, it says so, for example “Showing version 2. The latest is version 3.” Select Show latest to switch to the latest version.
  • Up to 50 versions are kept per file. Older versions can no longer be opened.

Some files are not updated this way:

  • Files saved to a dataroom: a change creates a new file. Versions made in the chat before saving appear in the file’s version history in the dataroom as “Updated in chat”.
  • Files where AITEZA only changed the text of your own file (see Edit an Existing Office File below): for a further change, AITEZA edits your original file again. Documents created in the design of an existing file are updated as usual.
  • Relay guests: external guests cannot update files. For them, a change always creates a new file.

Create a Document in the Design of an Existing File

AITEZA can write a completely new document in the look of an existing file, for example on your letterhead, in your company template or in the design of a presentation. Attach the file or select one in a connected dataroom and describe the document you need, for example: “Write a site report on our letterhead” or “Shorten this presentation to five slides and add the photos from the site inspection.”

  • The content can have any length and structure, with tables and images, just like a newly created document. The topic of the existing file does not matter; it only lends its look.
  • Word documents keep the letterhead, headers and footers, page setup and styles of the file. Presentations keep its slide masters, layouts, theme and logo.
  • For another file type, for example a Word report in the design of a presentation, the file’s corporate fonts and colors are used.
  • You follow the document in the live preview, and later changes keep the design.
  • The design file can be a .docx, .pptx or .xlsx file or an Office template (.dotx, .potx, .xltx). A PDF provides no design.

The old content of the file is not carried over: what AITEZA does not write is not in the new document. To change only individual texts while the layout stays exactly as it is, for example to fill in a form or translate a file, see Edit an Existing Office File below.

Edit an Existing Office File

AITEZA can change text in an existing Word, PowerPoint, or Excel file while leaving its design, formatting, images, and layout unchanged. Attach the file in chat or select an available file, then describe the changes you need. AITEZA returns an updated copy; the original file remains unchanged.

Edit an Existing Office File

  1. 1

Attach a .docx, .pptx, or .xlsx file in chat, or select a file that is already available.

  2. 2

Describe the changes precisely, including the exact existing text or cell values to update.

  3. 3

Send your request, download the updated copy, and review it in the corresponding Office application.

Typical requests include:

  • Fill in an existing Word form.
  • Translate the text in a presentation.
  • Update values in a spreadsheet.
  • Reword a report; its existing formatting remains unchanged.

File Creation with Connected Datarooms

In a dataroom chat, connect one or more datarooms first and then request a file based on their content, for example: “Summarize this dataroom in a 5-slide PowerPoint.”

Agent Mode for Multi-Step Tasks

With models that support agent mode, AITEZA can plan and run multi-step tasks, for example researching dataroom content, creating an Excel file plus a management summary, and optionally saving outputs to a dataroom. More complex requests are broken down into steps, so longer chains of steps are less likely to lose track partway through.

Transparent Tool Execution

When AITEZA needs to look something up or run a calculation to answer your question (for example, running a precise data query against an Excel or CSV file), every executed query and other tool call is displayed in the chat in a clear, understandable way. This lets you follow exactly how an answer was produced instead of only seeing the final result.

Good to Know

  • File creation or editing is triggered only when you explicitly ask for a document. Normal questions still return regular chat answers.
  • Saving generated files to a dataroom requires write permission in that dataroom.
  • On desktop and mobile, the UI adapts automatically to the available screen size.
