Organization Models

Organization Models

Choose the models your organization offers, the default model and group overrides.

On this page

On the Models page in the Organization section of Settings, organization admins choose which AI models their organization offers and which one new chats start with. They can also limit the models of individual groups.

Where the Models Come From

  1. Platform administrators maintain the catalog of models the installation offers (page Model catalog in the Platform section of Settings).
  2. Organization admins choose which of these models their organization offers and set a default model.
  3. Optionally, a group can get its own selection from the organization’s models (a group override).

What a person can choose in chats, datarooms and workflows results from these steps. Datarooms can narrow the choice further, but they can only offer models the organization offers.

Organization Tab

The Organization tab lists all models of the platform. Each row shows the model’s name and what it can do (for example Images, Web search, Reasoning or Agent mode), followed by two controls:

  • Available: switch it on to offer the model in your organization.
  • Default: the model new chats start with, unless a person has chosen their own default model in their preferences (see Personal Settings) or has already used another model on the same device.

Below the list, a summary shows how many models are available and which one is the default, for example “3 of 5 models available · Default: …”.

As long as nobody has saved a selection, all platform models are available, and models the platform administrators add later appear automatically. Once you save a selection, new platform models are switched off for your organization until you switch them on here.

Change the models of the organization

  1. 1

Switch Available on or off for the models you want to change.

  2. 2

Choose the Default model. The default model is always available. To make it unavailable, choose another default first.

  3. 3

Select Save in the Unsaved changes bar, or Discard to undo your changes.

If you leave the page with unsaved changes, AITEZA asks whether you want to leave without saving.

Making a Model Unavailable That Is in Use

If a model you switched off is still in use in your organization, saving opens the dialog Make … unavailable?. Under Used in it lists where the model is used:

  • Dataroom: the model is offered in a dataroom.
  • Dataroom, default model: the model is the default model of a dataroom.
  • Relay: an external share uses the model.
  • Workflow: a workflow uses the model.
  • Group override: a group’s own selection contains the model.

The list shows up to ten places, followed by “and … more” if there are more.

Under Replace with, choose the model that takes its place. The organization’s default model is preselected. When you confirm with Make unavailable, the replacement takes the place of the old model everywhere in the list, and your selection is saved. Cancel saves nothing.

Personal default models are not replaced here. People who had chosen the switched-off model as their default start new chats as with Last used until they choose another default.

Group Overrides

The Group overrides tab limits which models the members of a group can use. The tab title shows how many groups have an override, for example “Group overrides (2)”. Without any override, everyone can use all models of the organization.

Add a group override

  1. 1

    Select Add override.

  2. 2

Choose a Group. Only groups that do not have an override yet are offered.

  3. 3

Under Models, tick the models the group’s members can use. Only models your organization offers are listed.

  4. 4

Choose the group’s Default model. It is always included.

  5. 5

    Select Save override.

The list shows each group with its models; the default model is marked “(default)”. Use Edit to change an override. Remove (or Remove override in the dialog) deletes it after a confirmation. The group’s members can then use all models of the organization again.

The Groups page also shows for each group whether it uses the organization’s models or has its own selection (see People and Groups).

Which Models a Person Can Use

The rules are designed so that a group override never takes away models that a person gets through another group:

  • A group without an override gives its members all models of the organization.
  • A group with an override gives its members the models of that override.
  • Someone in several groups can use the models of all their groups combined.
  • Someone in no group can use all models of the organization.

The default model for a person is the organization’s default model if they may use it. Otherwise it is the default model of their first group with an override, with groups sorted alphabetically.

A new chat starts with the first of these models that the person may use:

  1. their personal default model (see Personal Settings),
  2. the model they last used on this device,
  3. their default model as described above,
  4. the first model in the list.

Example: The organization offers models A, B and C, and A is the default. The group “Interns” has an override with only model B. The group “Sales” has no override.

  • A person only in “Interns” can use model B, and B is their default.
  • A person in “Interns” and “Sales” can use A, B and C, because “Sales” gives them all models of the organization. Their default is A.
  • A person in no group can use A, B and C.
